Alpine Encounters SARL is a French Registered Company & therefore subject in the first instance to French Law. It is similar in practice to a Limited Company in the UK.
Deposit and Confirmation:
For a provisional booking, please telephone or complete the website enquiry form. A quote will then be sent to you by email. We will hold the booking for 4 working days by which time we must receive €150 (150 Euros) deposit per member of your party. You can pay a deposit by credit/debit card (not Switch) bank transfer or eurocheque payable to Alpine Encounters SARL. Regretfully, eurocheques incur a handling charge of 12 euros. For large groups Bank Transfers are often the best bet. Alpine Encounters cannot accept Sterling cheques. Sterling prices on this website are approximate and intended as a guide only. You will be billed in euros at the relevant rate that day. You should satisfy yourself of the actual cost at the time of the transaction with your Bank or Credit Card Company.
For bookings within 10 weeks of departure the full cost of the holiday will be required at the time of booking. Confirmation will be sent to you on receipt of the booking form and deposit. No contract exists until the deposits are received and the confirmation of booking has been issued. The Party Leader in signing the booking form confirms that she/he is authorised to bind all members of the group to the terms of this contract. We will only accept communication from the Party Leader.
Balance:
An invoice for the balance will be sent to you 10 weeks prior to departure. Full payment of the balance is required 8 weeks before departure date. As with the deposit payment may be by eurocheque, Credit Card or Bank Transfer.
If the balance is not received by the specified date we reserve the right to cancel your booking and levy the cancellation charges detailed below.
Cancellation:
If a booking has been made and you wish to cancel, you must notify us immediately. We will do our best to re-let rooms and reduce the cancellation fees; early notice helps us do this. Cancellation takes effect the day written cancellation by post or e-mail is received. If no written cancellation is received and you do not arrive the full cost as shown on the booking form will be charged.
Cancellation 10 weeks before arrival, the deposit is forfeit.
Cancellation 9 to 4 weeks before arrival, 50 percent of the total cost will be charged. Cancellation 3 weeks before arrival, 100 percent will be charged.
We recommend you buy travel insurance to include the cost of cancellation at the time of booking.
Insurance:
It is a condition of your booking that you have in place appropriate insurance for your holiday.
Winter Sport Insurance is also available in the Resort from lift pass offices but will not include repatriation or losses due to cancellation.
Alterations by us:
In the unlikely event that we make any alteration to your holiday we shall inform you as soon as possible and offer (a) alternative dates at the same cost with an appropriate refund if the advertised cost of the alternative is lower or (b) a prompt refund of monies paid to us by you.
Alterations by you:
Once we have sent your confirmation of booking any changes to your booking by you may be charged at €15 (15 euros) per person where details have changed and where we incur additional costs.
Prices:
We reserve the right to change the price of unsold holidays at any time, however once booked the price will not change.
Resolving problems:
Should you have problems or complaints please raise them with us immediately and we will endeavour to resolve them as soon as possible. Unfortunately we have no control over public utilities and mechanical failures (e.g.) ski lifts, navettes.
Liability:
We are not responsible for delays to your travel arrangements or bad weather. If you have booked a transfer and your arrival is delayed we will endeavour to accommodate such changes but reserve the right to reclaim any additional costs. To minimise the effects of any changes please keep us informed.
We reserve the right to recover from clients the cost of any breakage or damage caused with or without intent by the client. Such costs will be recovered before departure and are deemed to be the responsibility of the Party Leader. We will not accept liability for financial loss or damage to property suffered by you other than that due to the negligence of our Company.
